The role of a Legal Associate involves handling various administrative and secretarial tasks to support the legal team.
Key Responsibilities
- Manage documents by encoding, scanning, printing, and filing.
- Schedule meetings and coordinate logistics, including travel arrangements and expense reporting.
- Coordinate the notarization and transmittal of documents.
- Process payments for external counsels and regulators.
- Prepare reports and memos as needed.
Administrative Support
- Handle incoming calls and visitors.
- Provide general administrative support to the legal team.
Vendor Coordination
- Liaise with vendors to secure documentary requirements.
- Ensure bills are settled on time.
Knowledge Management
- Maintain organized physical and digital filing systems.
- Ensure legal files are kept confidential and accessible.
Legal Operations Support
- Assist in the preparation, review, and routing of legal documents and reports.
- Conduct legal research and monitor regulatory updates.
- Draft routine legal forms.
- Manage internal and external correspondence.
Corporate Compliance
- Support logistics and documentation for board meetings.
- Assist in statutory filings.
- Monitor compliance requirements.
General Legal Operations
- Track documents and monitor deadlines.
- Ensure adherence to internal legal procedures.
Office Administration
- Handle requests for office supplies.
Qualifications and Requirements
- Graduate of any four-year course.
- Preferably with at least 1 year of experience in a law firm or corporate legal department, providing administrative support.
- Strong verbal and written communication skills.
- Detail-oriented, responsible, and professional.
- Able to work independently with minimal supervision.
Working Arrangements
- Willing to work in a hybrid setup based in Ortigas, Pasig.
