Business Role: Executive Assistant
We are seeking a skilled and organized Executive Assistant to support our management team. This role is ideal for someone who excels in multitasking, prioritization, and problem-solving.
About the JobAs an Executive Assistant, you will be responsible for providing administrative support to our leadership team. Your duties will include:
- Coordinating meetings, appointments, and travel arrangements
- Preparing reports, statements, and invoices, and tracking payments and company expenses
- Managing data entry, lead lists, meeting minutes, payroll information, and research notes
- Researching products, purchasing goods, and securing samples
- Updating and collecting information for marketing and sales campaigns through a CRM system
- Maintaining project schedules, conducting internal communication, and organizing company data
- Coordinating team calendars, preventing scheduling conflicts, and ensuring clients are on time and prepared for meetings
- Preparing itineraries, booking hotels, rental cars, etc.
- Handling incoming calls, making calls for appointments or conducting informational inquiries
- Responding to emails, following up on correspondence, organizing the inbox as per client preferences, and notifying clients about important emails
- Synthesizing data and other content into cohesive reports and presentation slides
- Uploading videos, managing negative reviews, and keeping the account profile up to date
To succeed in this role, you will need:
- A minimum of 3 years of experience as an Executive Assistant to C-levels (CEO, COO, etc.)
- Bachelor's degree or any certificate course (required)
- Excellent phone, email, and instant messaging communication skills
- Excellent English communication skills, both written and verbal (at least B2 level)
- Solid organizational and time management skills
- Tech-savvy and familiar with current technologies, like desktop sharing, cloud services, and VoIP
- Experience with word-processing software and spreadsheets (e.g., MS Office)
- Knowledge of online calendars and scheduling (e.g., Google Calendar)
- A proactive attitude and willingness to be trained
