
Law Firm Front Desk Coordinator

We are seeking a highly skilled and organized Reception and Intake Specialist to manage client and prospect relations with exceptional service, respond to incoming messages, gather information via phone and complete intake forms, and make outbound calls to schedule or confirm appointments.
This role involves delivering top-notch support to clients aged 55+, answering inbound calls, and making outbound calls to follow up on leads. The ideal candidate will be proactive, self-motivated, and able to anticipate needs, identify solutions early, and take thoughtful action before issues arise.
- Client Support: Manage requests, inquiries, and support of client and prospect needs; respond to emails; resolve issues; provide copies of documents; update CRM systems.
- Inbound/Outbound Calls: Answer ~25 inbound calls per day; build rapport with clients and schedule appointments; make ~25 outbound calls per day to follow up on leads and schedule appointments.
- New Client Intake: Gather information via phone and complete intake forms; follow up with prospective clients via email and notify next steps.
The Reception and Intake Specialist will work closely with attorneys, supporting them in their work and advocating for the team's success.
