Medical Intake Specialist Job Description

This key role is responsible for medical records retrieval and ensuring intake requests are accurate, complete, and optimized.

Key Responsibilities
  • Provider Identification: Identify providers associated with a client's treatment, locate billing providers using tools, and ensure case completion within assigned periods.
  • Request Creation & Quality Control: Review and correct incoming ROIs, prepare accurate base forms, and generate submission packets. Conduct QA reviews of each ROI packet to ensure cover letters, affidavits, and provider-specific requirements are correct.
  • Request Assignment & Escalation: Assign requests to the appropriate records team member based on workload and utilization. Escalate special provider requirements or edge cases to the Client Success Manager (CSM) and ensure escalations are logged and resolved within 24 hours.
  • Team Support & Process Improvement: Provide coverage for urgent backup tasks such as payment processing or fax monitoring when needed. Contribute to process improvements, support training and onboarding of new team members, and ensure adherence to scheduling and leave management.
