Job Title: HR Administrator

The primary role of an HR Administrator is to provide administrative support to the Human Resources team, ensuring smooth and efficient operations. The successful candidate will be responsible for various tasks, including employee document management, creating and maintaining standardized employee folder structures, migrating employee documents from different platforms, organizing and filing historic interview notes, developing and maintaining templates for recruitment and selection processes, ensuring all HR policies and procedures are up-to-date and uploaded onto the company's document management system, assisting in preparing and supporting internal and external HR audits, collaborating with the medical team to flag employees requiring medical clearance, and providing ad-hoc HR administrative support as required by the HR team.

This role requires a highly organized individual with excellent communication and interpersonal skills, who can work independently and collaboratively within a team. The ideal candidate will have 2-5 years of experience in a similar role, preferably in the mining and minerals, processing, oil & gas or heavy industries, strong organizational skills with a keen eye for detail, familiarity with HRIS software, good understanding of record keeping and audit processes, proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel, and the ability to work effectively in a fast-paced environment.

\Responsibilities:
  • Employee Document Management: Create and maintain standardized employee folder structures for every employee, migrate employee documents from Outlook, EFS systems, Employment Hero, and Definitiv platforms into a single consolidated filing system, organize and file historic interview notes for successful candidates within their employee folders.

  • Template Development and Maintenance: Develop and maintain templates for recruitment and selection processes, including interview guides, phone screen questionnaires, verbal reference forms, and sourcing strategies.

  • HR Policy and Procedure Management: Ensure all HR policies and procedures are up-to-date and uploaded onto the company's document management system.

  • Compliance and Auditing: Assist in preparing and supporting internal and external HR audits post-system implementation, collaborate with the medical team to flag employees requiring medical clearance.

  • General Administration: Provide ad-hoc HR administrative support as required by the HR team, maintain confidentiality and security of all employee records and sensitive information.
\Qualifications:
  • 2-5 years experience in a similar role, preferably in the mining and minerals, processing, oil & gas or heavy industries.

  • Strong organizational skills with a keen eye for detail.

  • Familiarity with HRIS software.
\
  • Good understanding of record keeping and audit processes.
\
  • Excellent communication and interpersonal skills.

  • Ability to work independently and collaboratively within a team.
