Bid Estimator Coordinator Job Description

Our organization is seeking a highly organized and proactive Bid Estimator Coordinator to support our estimating teams in coordinating all aspects of the bid process. This fully remote position plays a vital role in ensuring that proposals are complete, accurate, and submitted on time.

The ideal candidate is detail-oriented, a strong communicator, and highly proficient in Microsoft Excel. While construction or engineering experience is preferred, it is not required for this position.

Key Responsibilities:
  • Bid Package Management
  • Coordinate and track bid proposals from initiation to submission.
  • Ensure all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications.
  • Organize files for executive review and maintain consistent folder structures.
  • Solicit and track supplier and subcontractor pricing.
  • Maintain and update a bid contact database with key partners.
  • Ensure all quotes are documented and properly saved for reference.
  • Collaborate with estimators on bid deadlines and scheduling.
  • Assist with software tracking and document management.
  • Generate summary bid reports and maintain a bid calendar.
Administrative & Compliance:
  • Prepare and submit prequalification packages, bid bonds, and forms as required.
  • Ensure bid records are saved and easily accessible for audit and historical review.
  • Support the implementation of a Delegation of Authority (DOA) process to route bids for internal approvals.

This is a full-time job requiring the following qualifications:

We prefer candidates with prior experience supporting estimating, project management, or construction administration. Familiarity with estimating tools like Pinnacle, PlanSwift, or Bluebeam is also beneficial.
