Job Description

This is an exciting opportunity to become the organizational backbone of a thriving construction management company's pre-construction operations. As a Project Coordinator specializing in bid management, you'll take ownership of the entire bid lifecycle from opportunity identification through submission, ensuring nothing falls through the cracks. You'll work with modern project management tools like Pipefy to maintain seamless workflows while serving as the critical link between complex bid documentation and successful project execution. This role offers the perfect blend of administrative coordination and strategic project support, making you an indispensable part of the team's continued success and growth.

Responsibilities
  • Organize and coordinate all bid-related activities, including systematically pulling and organizing comprehensive bid packages
  • Conduct thorough reviews of bid opportunities and associated documentation to identify and extract critical requirements, deadlines, and compliance guidelines
  • Proactively monitor and track due dates for bid submissions, ensuring timely completion and preventing missed opportunities
  • Coordinate mandatory site visits and other essential bid-related activities with precision and attention to detail
  • Analyze complex bid packages to distill and communicate vital information including specific requirements, due dates, and site visit details to team members
  • Provide expert guidance to team members on bid expectations and help them understand the most important information from each bid opportunity
  • Streamline and maintain organization of pre-construction processes and workflows for maximum efficiency
  • Ensure strict compliance with all bid requirements and deadlines while maintaining high standards of accuracy
  • Utilize advanced project management tools like Pipefy to organize and manage the comprehensive project pipeline
  • Deliver high-level administrative support for construction management operations across multiple projects
Requirements
  • Exceptional attention to detail and superior organizational skills with proven ability to manage multiple complex projects simultaneously
  • Previous experience in project coordination or administrative roles, with construction industry experience strongly preferred
  • Demonstrated ability to review, analyze, and extract key information from complex technical documentation
  • Solid understanding of construction bid processes, timelines, and industry-specific requirements
  • Proficiency with project management and pipeline management tools, with adaptability to learn new systems quickly
  • Outstanding communication skills with ability to guide team members and effectively collaborate with stakeholders
  • Strong independent work ethic with capability to manage multiple competing deadlines in a fast-paced environment
  • Aggressive, proactive approach to problem-solving with commitment to excellence and continuous improvement
