Job Description:

This role is a crucial component of our organization, requiring exceptional communication, organizational, and problem-solving skills. As the initial point of contact for patients, you will be responsible for handling intake phone calls in a friendly and professional manner.

Main Responsibilities:

  • Frontline Patient Interaction: Answer and manage intake phone calls from patients, providing a warm welcome, calming reassurance in urgent situations, and collecting initial information with empathy and efficiency.
  • Patient Information Collection: Obtain and record detailed client information, including personal details, location, and a summary of symptoms or chief complaints.
  • Appointment Coordination: Assess the urgency of patient needs and schedule same-day or urgent appointments accordingly.
  • Doctor Allocation: Determine and assign the appropriate doctor for each case based on patient symptoms, location, and timing.
  • Communication & Follow-Up: Send confirmation details and informative follow-ups to patients and doctors.
  • Post-Appointment Feedback: Reach out to patients to confirm their issue was addressed and they are satisfied with the service.
  • Issue Resolution & Troubleshooting: Proactively manage and resolve logistical issues that may occur during the intake or appointment process.
  • Shift Handover Protocol: Collaborate closely with other intake specialists during shift overlaps to ensure a smooth handoff of any in-progress cases.

Requirements:

  • Experience & Background: 1+ years of experience in a customer service, patient intake, or call center role.
  • Excellent Communication Skills: Fluent English proficiency, with a clear speaking voice and strong written communication.
  • Customer-Centric Approach: A genuine passion for helping people and providing outstanding service.
  • Organizational Skills: Exceptional multitasking and organizational abilities.
  • Tech Savvy: Comfortable using technology to facilitate workflow.
  • Problem-Solving: Critical thinking and quick decision-making skills.
