Job Overview
This is a key role within our organization, focused on providing comprehensive administrative support and financial management expertise. The ideal candidate will have a strong background in executive assistance and financial operations, with the ability to learn and adapt quickly to new processes.
The successful candidate will be responsible for providing calendar coordination, communication management, and administrative task coordination to senior leadership. They will also be expected to manage QuickBooks financial operations, verify invoices, and process payroll with accuracy and attention to detail.
In addition to these responsibilities, the candidate will be required to master specialized international trade processes and calculations, as well as collaborate directly with leadership on administrative analysis and operational improvements.
Key Responsibilities:
- Provide executive assistant support including calendar coordination, communication management, and comprehensive administrative task coordination.
- Manage QuickBooks financial operations with systematic accuracy and attention to detail.
- Verify invoices and prevent duplicate billing while building relationships with suppliers and vendors.
- Process payroll and maintain organized documentation for smooth business operations.
- Master specialized calculations and international trade management for China manufacturing transition.
- Collaborate directly with leadership on administrative analysis and operational improvements.
Requirements:
- 5-10 years comprehensive executive assistant and financial management experience with proven capabilities.
- 3-5 years tenure with one employer, demonstrating commitment to professional stability and growth.
- QuickBooks expertise with systematic approach to financial accuracy and administrative process management.
- Strong communication skills including comfort providing direct feedback and autonomous decision-making.
- Proven ability to learn specialized processes while maintaining accuracy in current responsibilities.
