We are seeking a diligent and meticulous Administrative Coordinator to provide high-quality support to our management team. The successful candidate will be responsible for maintaining accurate records, processing invoices efficiently, and ensuring seamless office operations.
Key Responsibilities- Answer incoming calls, direct them appropriately or take messages.
- Enter work orders into the system and update job statuses as needed.
- Process invoices accurately and on time, while maintaining excellent attention to detail.
- Assist with accounts payable and receivable entries, ensuring accuracy and timeliness.
- Conduct thorough research to identify permit and license requirements for new projects and job sites.
- Maintain digital and paper records for jobs, invoices, and documentation in a well-organized manner.
- Provide administrative support to management and field staff, ensuring smooth communication and collaboration.
- Ensure office operations run efficiently and effectively, meeting business objectives.
- Proven experience in an administrative or bookkeeping role, demonstrating exceptional organizational skills.
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook) is essential for success in this position.
- Excellent phone etiquette and communication skills are crucial for effective interaction with clients and colleagues.
- Strong multitasking abilities and attention to detail are necessary for managing multiple tasks and responsibilities.
- The ability to work independently and handle confidential information with discretion is vital for this role.
- Familiarity with permit/license research or a willingness to learn is highly desirable.
- High levels of accuracy and attention to detail are required for data entry and invoicing.
