Key Role in Corporate Secretarial Administration

Job Description:

You will play a pivotal role in supporting our client services team, delivering exceptional corporate secretarial administration services to your portfolio of clients.

Responsibilities include drafting resolutions, preparing minutes for general meetings, sending reminders on deadlines to hold Annual General Meetings, and maintaining the statutory books.

Key Responsibilities:

  • Document Generation and Preparation: Responsible for generating and preparation of documents and forms required for the portfolio of clients.
  • Client Support: Ensuring the smooth running of day-to-day relationships with cluster and consistent delivery of client reporting/information accurately and on time.
  • Support to Supervisor: Ensuring that support is provided to your immediate supervisor to complete the required deliverables for the clients and be proactive in defining areas needing attention or support.
  • Designated Clients: Know the specifics of designated clients including understanding their structure and any agreements they have in place.
  • Risk Management: Minimise risk to the company by ensuring all procedures and checklists are followed.

Qualifications:

Must-haves:

  • Holds a bachelor's degree in business administration or similar.
  • At least 3 years of relevant experience.
  • Experience and knowledge supporting the Board of Directors (BOD) or Board of Trustees (BOT).
  • Knowledge doing the minutes of the meeting of the BOD/BOT (much preferred) or the discussion of C-Suite leaders or Mancom meetings.
  • Knowledge of the preparation of Board Materials (Board Pack).
  • Experience doing filings with compliance or similar.
  • Experience in managing service operations, managing multiple clients and client deliverables.
  • Strong written and verbal communication.

Nice to have:

  • Preferably a qualified Chartered Secretary or holds an LL.B (pre-law) degree or equivalent related paralegal qualification.
  • Experience in using operations management software.
  • Experience in dealing with foreign clients.
  • Being conversant with corporate secretarial practices, especially in the areas of funds and special-purpose vehicles is an advantage.
