Main Duties:
  • Manage senior-level inbox and task list, ensuring timely follow-ups and clear priorities.
  • Schedule meetings, coordinate calls, and facilitate business communication.
  • Process invoicing through QuickBooks and handle sending, tracking, and collecting payments.
  • Maintain essential client documents like W9s and COIs.
  • Develop and document standard operating procedures for smoother operations.
  • Implement tools and systems to improve workflow efficiency.
  • Support bid tracking and internal organization for future growth opportunities.
  • Act as a proactive and dependable support to senior leadership in a fast-paced environment.
Key Requirements:
  • 5+ years experience in an operational and executive assistant role.
  • Highly detail-oriented and thrives on clarity, structure, and follow-through.
  • Proactive and takes initiative—anticipates needs before being asked.
  • Tech-savvy with tools like QuickBooks, Google Workspace, Slack, and Zoom.
  • Communicates clearly and professionally, both in writing and over the phone.
  • Able to manage shifting priorities and work independently with minimal supervision.
  • Experience supporting small U.S.-based businesses, ideally in construction or trades.
