Job Title: Operations Support Specialist
Operations Support SpecialistAs a key member of our operations team, you will play a crucial role in ensuring the smooth day-to-day functioning of our organization.
Key Responsibilities:
- Manage and maintain project management systems to optimize workflows and streamline processes.
- Track and follow up on operational tasks and deliverables to ensure timely completion.
- Create and document SOPs and internal templates to standardize operations.
- Identify inefficiencies and propose improvements to workflows and systems.
Client-Facing Roles:
- Assist with onboarding processes and preparation of welcome materials for clients.
- Coordinate with other team members and vendors to provide exceptional client experiences.
- Support retention and satisfaction efforts to foster long-term relationships with clients.
Technology and Tools:
- Manage tools such as Asana, Clio, Microsoft Office Suite (Outlook, Word), OneDrive, Slack, Clay, and Canva.
- Troubleshoot technical issues and support colleagues in using these tools effectively.
- Recommend and help implement new software or process automations to enhance efficiency.
- Utilize AI tools like ChatGPT to streamline operations where appropriate.
Reporting and Documentation:
- Maintain internal dashboards, task trackers, and project reports to facilitate data-driven decision-making.
- Assist with meeting agendas, process reviews, and documentation maintenance to ensure consistency.
The ideal candidate will possess:
- At least 2 years of experience in operations or project coordination within a professional setting.
- Previous remote work experience in a professional environment.
- Proven ability to create and implement workflows or processes from scratch.
- Strong English communication skills.
- Experience working with Asana or similar project management tools.
- Availability to work full-time with significant overlap with Pacific Standard Time (PST).
- Highly organized and methodical approach to work.
- Strong initiative and self-direction, with the ability to work independently.
- Curious and inquisitive nature, with a desire to learn new tools and solve problems.
- Clear and professional communication skills (written and verbal).
- Collaborative mindset, comfortable receiving and providing feedback.
- Honest, accountable, and dependable attitude.
- Adaptable to changing priorities or environments.
- Client-focused mindset, even in back-office tasks.
- Project management tool proficiency (Asana preferred).
- Strong digital fluency and ability to quickly learn new platforms.
- Excellent document formatting and file management skills.
- Working knowledge of Microsoft 365 (especially Outlook and Word).
- CRM familiarity (Clio or similar).
- Experience with cloud-based tools (OneDrive, SharePoint, Slack).
