Medical Document Retrieval Specialist Job Description

Key Responsibilities
  • Determine relevant healthcare providers associated with a client's treatment.
  • Review and correct incoming Release of Information (ROI) forms, which are often incomplete or incorrect.
  • Create accurate base forms before assembling final submission packets.
  • Assign requests to appropriate records team members based on workload and utilization metrics.

A thorough understanding of the medical records retrieval process is essential for success in this role. The Medical Document Retrieval Specialist plays a pivotal role in ensuring all requests are complete, accurate, and prepared for downstream processing.

Requirements
  1. Provider Research & Identification
    • Liaise directly with law firms to identify billing providers and related entities.
    • Utilize tools such as Chartswap, prior request history, and direct provider calls to locate relevant information.
  2. Request Creation & Quality Control
    • Evaluate incoming ROI forms for completeness and accuracy.
    • Correct errors and inconsistencies to ensure high-quality submissions.
  3. Handling Special Cases
    • Escalate provider-specific requirements to the Client Success Manager.
    • Resolving missing or conflicting information by communicating directly with law firm case managers.
Essential Skills and Qualifications
  • Experience requesting health records from providers on behalf of healthcare companies or related organizations.
  • Attention to detail is critical, with extreme accuracy required to avoid delays.
  • Technical proficiency in Adobe Acrobat and PDF editing/combining tools.
  • Strong verbal and written communication skills, with a proactive problem-solving mindset.
