
Administrative Support Specialist

This role provides vital administrative support to the HR team, encompassing the management of documentation, assistance with onboarding, and supporting recruitment efforts. The incumbent will be responsible for maintaining accurate employee records, coordinating training, generating reports, ensuring compliance, and assisting employees with HR-related inquiries.
The successful candidate will play a key role in supporting the HR team by ensuring smooth and efficient HR processes. They will be responsible for maintaining accurate records, supporting employee needs, and contributing to a positive workplace culture.
Key Responsibilities
- Employee Lifecycle Support: Assist with employee onboarding and exit processes, maintain accurate records, and ensure compliance with relevant laws and regulations.
- Maintain and Organize HR Documents: Accurately and confidentially maintain HR documents, records, and databases.
- Insurance & Benefits Administration: Process insurance transactions, EOBs, and invoices, and assist with benefits renewals.
- Government Compliance & Filing: Handle SSS, TIN, and other government filings and reimbursements, and liaise with government offices to ensure timely and accurate submissions.
- Support HR Operations: Manage employee loan approvals, timekeeping requests, document requests, serve as a point of contact for employee inquiries, and provide assistance with HR-related questions or issues.
- Recruitment & Employer Branding: Coordinate job postings, assist in screening candidates, represent the company at job fairs and recruitment events, and create visual and written materials to support HR communications and employer branding initiatives.
Requirements
- Degree in Human Resources, Psychology, Business Administration, or a related field.
- At least 1–2 years of experience in general HR, people operations, or administrative support roles.
- Strong organizational skills and attention to detail, especially in handling confidential information.
- Excellent communication and interpersonal skills, with a service-oriented mindset.
- Proficiency in Microsoft 365 tools (Outlook, Excel, Word, Teams, etc.) and HRIS systems (Workday and ADP).
