Administrative Support Role

We are seeking a highly organized and detail-oriented individual to fill the position of Administrative Assistant. As a key member of our team, you will be responsible for performing a variety of administrative tasks.

The successful candidate will have excellent written English skills, with the ability to produce high-quality documents and emails. Additionally, they will possess strong organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.

Key Responsibilities:
  • Monitor shared folders and log/transfer RFQ data to spreadsheets.
  • Prepare, format, and send quotes without pricing calculations.
  • Maintain version control and daily trackers.
  • Acknowledge, respond, and close out customer email enquiries.
  • Escalate edge cases to client managers.
  • File and organize digital records, including RFQs, quotes, and invoices.
  • Keep trackers up to date and produce simple internal documents as needed.
  • Prepare and process invoices against quotes/completed orders.
  • Match data accurately and follow up on discrepancies with the client team.
Required Skills:
  • Microsoft Excel for formulas, formatting, and accurate data entry.
  • Outlook for professional email handling.
  • SharePoint/OneDrive for structured filing and versioning.
  • Basic invoicing/accounting software.
