Remote Business Support Specialist

We are seeking a highly organised and proactive individual with exceptional attention to detail to provide administrative support across various departments.

The ideal candidate will have experience supporting professionals in Australian accounting firms, handling secretarial tasks, managing client communications, and using relevant tools and platforms.

Key Responsibilities:
  • Manage calendars, book appointments, and coordinate meetings across multiple time zones ensuring seamless communication.
  • Liaise with clients and legal professionals for entity set-up, trust deed execution, and related documentation maintaining confidentiality at all times.
  • Handle ASIC-related secretarial work including Form 484, Form 362, company renewals, and changes to corporate records ensuring accuracy and compliance.
  • Monitor and respond to emails on behalf of team members ensuring timely and professional communication.
  • Maintain and update internal databases and document registers providing easy access to essential information.
  • Prepare, review, and format documents and correspondence with high accuracy ensuring professionalism at all times.
  • Provide admin support to team members across different departments fostering a collaborative work environment.
  • Assist with basic e-marketing and social media scheduling or content coordination enhancing online presence.
Required Skills and Qualifications:
  • Strong organisational skills with attention to detail.
  • A high level of maturity and discretion in handling sensitive information.
  • Excellent verbal and written English communication skills.
  • Proven ability to manage calendars and appointments independently.
  • Self-motivated with the ability to work remotely and manage time effectively.
  • Proficiency in Microsoft Office Suite, Google Workspace etc.
Preferred Skills:
  • Experience working in or with an Australian accounting firm is highly regarded but not mandatory.
  • Understanding of ASIC requirements and company secretarial processes.
  • Familiarity with Xero Practice Manager, Trello, Mailchimp or similar platforms is a plus.
