Key Responsibilities:
  • Monitoring and Reporting:
    • Oversee refrigeration system performance, identifying potential issues and notifying relevant personnel for prompt troubleshooting and resolution.
    • Generate comprehensive reports on system performance, maintenance schedules, and incidents to ensure informed decision-making.
  • Administrative Support:
    • Maintain accurate records of maintenance, repairs, and inspections, ensuring seamless compliance with regulatory requirements.
    • Coordinate schedules for routine maintenance and emergency repairs with technicians and vendors, guaranteeing timely completion of tasks.
  • Communication and Coordination:
    • Act as liaison between refrigeration technicians, facility managers, and external vendors, fostering effective communication and collaboration.
    • Communicate system alerts or malfunctions promptly to relevant teams, minimizing downtime and ensuring business continuity.
  • Documentation and Compliance:
    • Ensure all refrigeration logs, compliance records, and safety certifications are up-to-date and filed appropriately, maintaining a culture of excellence and adherence to regulatory standards.
    • Assist with audits and regulatory compliance documentation, providing valuable insights and expertise.
  • Inventory and Supplies Management:
    • Track and manage inventory related to refrigeration, including spare parts and refrigerant supplies, ensuring optimal stock levels and minimal waste.
    • Order necessary materials and maintain an organized supply system, streamlining operations and reducing costs.
  • General Administrative Tasks:
    • Provide exceptional customer service, responding to calls, handling correspondence, and managing data entry for refrigeration-related operations with precision and professionalism.
    • Support budgeting and cost-tracking for refrigeration maintenance and repairs, making informed financial decisions that benefit the organization.
  • Requirements:
    • Proven experience in administrative or support roles, preferably in technical or facilities management environments.
    • Familiarity with refrigeration systems or facility operations is a significant advantage, but not essential.
    • Proficiency in Microsoft Office Suite and other administrative tools is required.
    • Excellent communication and problem-solving skills, with the ability to work effectively in a fast-paced environment.
