Job Overview

The Program Coordinator is a vital role within the organization, responsible for handling a variety of administrative tasks and project-based initiatives as assigned by the Program Manager. Key duties include assisting in candidate onboarding, monitoring missing timesheets and expenses, and ensuring timely approval completion.

This role also involves supporting the Program Team in maintaining data within various systems, including VMS and Client Facing Systems. Strong organizational skills, attention to detail, and effective communication are essential requirements.

Key Responsibilities:
  • Manage the general mailbox, responding to hiring manager and supplier inquiries in a timely and accurate manner.
  • Assist the Program Manager, Specialists, Hiring Managers, and Suppliers throughout all stages of the requisition and contingent worker management processes.
  • Support with Onboarding & Offboarding activities, ensuring all steps are completed accurately and on time.
  • Monitor missing timesheets, expenses, and invoice submissions, following up with Associates and Managers to ensure approval completion.
  • Assist the Program Team in maintaining data within the VMS and/or Client Facing Systems.
Requirements:
  • High School Diploma or Equivalent
  • 1-3 years' work experience as a recruiting assistant, staffing coordinator, or administrative assistant
  • Proficient with technology, including Microsoft suite of products and Adobe
  • Knowledge of VMS, HRIS, or ATS systems
  • Knowledge of office administrative procedures and standard office equipment
