Facilities Operations Specialist

 

We are seeking a highly organized and detail-oriented Facilities Operations Specialist to join our team.

 

Job Description:

 The Facilities Operations Specialist will work closely with clients, vendors, and contractors to ensure that facility tasks and work orders are complete. This role is part of the facilities management functional area, which focuses on operations of a set of assets and provides support to property managers regarding repairs and investment plans.

 

Responsibilities:

  • Work with landlords, tenants, and service providers to implement procedures, policies, and reporting formats.
  • Acknowledge client inquiries and collect work orders.
  • Collect information reports to determine performance and progress status.
  • File work orders, proposals, department files, and other paperwork submitted by vendors.
  • Monitor activities outside the building, such as proper waste disposal and recycling.
  • Follow instructions and communications, asking clarifying questions when needed.
  • Respond to common inquiries or complaints from clients, co-workers, and supervisors.
  • Use established procedures to solve straightforward problems under limited discretion.
  • Deliver output by following defined procedures and processes under close supervision and guidance.

 

Requirements:

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills to calculate simple figures (percentages, discounts, markups).
