Job Title: Facility & Property Management Associate
We are seeking a detail-oriented and reliable professional to join our team as a Facility & Property Management Associate. This role involves working with the property management group, vendors, and staff to achieve facilities goals and objectives.
The successful candidate will be responsible for overseeing all aspects of the operational facilities department, managing facility inventory and assets, and ensuring facilities are clean and well-maintained. They will also coordinate maintenance activities, inspect facilities, and provide employees with facilities and support services to increase workplace satisfaction and enable effective business operations.
The ideal candidate will have a strong work ethic, excellent communication skills, and the ability to maintain confidentiality and professionalism. They will be proactive in developing trust and professional rapport with employees and team members and be able to adjust quickly and smoothly to changing priorities and conditions.
Responsibilities:
- Work with the property management group, vendors, and staff to achieve facilities goals and objectives.
- Oversee all aspects of the operational facilities department.
- Manage facility inventory and assets.
- Ensure facilities are clean and well-maintained.
- Coordinate maintenance activities and inspections.
- Provide employees with facilities and support services.
- Assist in budget preparation and monitoring.
- Plan, coordinate, and implement timely completion of facilities projects.
- Review and validate invoices.
- Coordinate with building administration on issues regarding cleanliness, shutdowns, power, water, elevators, parking, and air-conditioning.
- Manage facility maintenance personnel (handyman).
- Handle leasehold improvements and upkeep of facility and critical equipment.
- Evaluate and coordinate with General Services staff.
- Ensure resources are efficiently utilized.
- Ensure compliance with standard operating procedures and policies.
- Coordinate corporate assets with Technical & Finance Department.
Requirements:
- Bachelor's degree in electrical/mechanical engineering or related field.
- Knowledge of basic civil and structural building construction, interior, and exterior.
- Knowledge of how to design and compute electrical and mechanical plans.
- Knowledge of operation and maintenance for generator sets and UPS units.
- Knowledge of evaluating vendor preventive maintenance reports and providing action plans.
- Ability to work extended or flexible hours, if needed.
- Adequate written and oral communication skills.
- Ability to maintain a high degree of confidentiality and professionalism.
- Strong work ethic, integrity, flexibility, diversity, customer service orientation, leadership/coaching skills, and team-building abilities.
- Ability to adjust quickly and smoothly to changing priorities and conditions.
- Strong analytical skills; ability to interpret data, identify trends, and suggest improvements.
