Job Overview

The Program Coordinator plays a pivotal role in the successful execution of brand sampling and operational programs. This dynamic professional is responsible for planning, coordination, and implementation of projects from start to finish.

As a liaison between internal teams and vendors, the Coordinator ensures that deliverables are completed on time, within scope, and aligned with business objectives.

Key Responsibilities:

  • Participate in campaign kickoff meetings to set clear expectations and goals.
  • Develop and manage campaign timelines, load timing into project management platforms, and track progress to ensure deadlines are met.
  • Maximize the use of CRM systems for all campaigns to enhance data collection and analysis.
  • Support Connect Builder with purchasing data, as needed, to supplement existing venue information.
  • Track recruitment progress against goals and assist Connect Builder in resolving concerns.
  • Oversee the creative deliverable process, working with internal and external partners to develop innovative materials.
  • Manage sample shipments and delivery to fulfillment partners, maintain inventory reports, and resolve discrepancies.
  • Direct shipments to venues with fulfillment partners, develop packing instructions, and ensure compliance and tracking.
  • Proactively communicate project status with internal teams and external partners.
  • Implement feedback surveys in survey platforms.
  • Provide regular updates on program metrics, photos, and consumer insights throughout the campaign.
  • Compile program results and build campaign recap decks, incorporating inputs from all team members.
  • Oversee the development of digital recaps, as needed.
  • Manage incentive distribution to venues and consumers.
  • Contribute to client meetings and status updates, as needed.
Requirements
  • 3–5+ years of experience in project or program management.
  • Proficient in project management tools (e.g., Basecamp).
  • Experience with HubSpot CRM or similar tools.
  • Confident with Excel, including formulas and structured worksheets.
  • Strong organizational skills, attention to detail, and ability to manage complex timelines.
  • Effective communication, negotiation, and interpersonal skills.
  • Excellent communication and follow-up skills.
  • Solid critical thinking and problem-solving abilities, capable of anticipating issues and solving them independently.
  • Comfortable managing multiple stakeholders and shifting priorities in a fast-paced environment.
Bonus Requirements
  • Background in promotions or event marketing, including supplier sourcing and vendor management.
  • Prior experience working with marketing or advertising agencies.
