
Office Administrator

We are seeking a diligent and organized professional to manage front-office communications, perform administrative tasks, and coordinate projects. The ideal candidate will handle incoming phone calls, enter work orders and invoices, assist with research, and provide general administrative support.
Key Responsibilities:- Answer incoming phone calls and direct them appropriately or take messages
- Enter work orders into the system and update job statuses as needed
- Create and process invoices accurately and on time
- Assist with accounts payable and receivable entries
- Research permit and license requirements for new projects, job sites, or services
- Maintain and organize digital records for jobs, invoices, and documentation
- Assist with scheduling, email correspondence, and other office tasks as needed
- Provide administrative support to management and field staff
- Proven experience in an administrative role
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Excellent communication skills
- Strong organizational and multitasking abilities
- Ability to work independently and handle confidential information
