Job Title

We are seeking a highly organized and detail-oriented administrative professional to manage day-to-day administrative tasks for our construction operations. The ideal candidate will have experience with AccuLynx software; however, candidates with strong skills in general construction management software or roofing industry software will also be considered.

This role involves handling administrative responsibilities, including answering phones, entering work orders, processing invoices, researching permits and licenses, and providing overall office support. Key responsibilities include:

  • Responding to incoming phone calls, taking accurate messages, and providing customer support.
  • Entering work orders, project details, and job updates into AccuLynx or other construction/roofing software.
  • Preparing and processing invoices, and assisting with accounts payable and receivable entries.
  • Maintaining accurate financial and project records in QuickBooks or other accounting software.
  • Researching permit and license requirements for jobs in various municipalities.
  • Coordinating with project managers, estimators, and field crews to ensure timely information flow.
  • Maintaining organized digital and physical filing systems for contracts, invoices, and project documents.
  • Assisting with scheduling, correspondence, and other general administrative duties.
Requirements
  • Prior experience in an administrative/bookkeeping role within construction or roofing preferred.
  • Experience with AccuLynx strongly preferred; familiarity with other construction or roofing software accepted.
  • Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook).
  • Strong communication skills and professional phone etiquette.
  • High attention to detail and accuracy in data entry and recordkeeping.
