Job Title: Proposal Coordinator Specialist

We are seeking a highly organized and proactive Proposal Coordinator Specialist to support our estimating teams.

This role plays a vital part in coordinating all aspects of the proposal process—ensuring that proposals are complete, accurate, and submitted on time.

The ideal candidate is detail-oriented, a strong communicator, and highly proficient in Microsoft Excel.

Key Responsibilities:

  • Bid Package Management
  • Coordinate and track proposal submissions from initiation to submission
  • Ensure all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications
  • Organize files for executive review and maintain consistent folder structures
  • Solicit and track supplier and subcontractor pricing
  • Maintain and update a bid contact database with key partners
  • Ensure all quotes are documented and properly saved for reference
  • Collaborate with estimators on proposal deadlines and scheduling
  • Assist with software tracking and document management
  • Generate summary proposal reports and maintain a proposal calendar

Administrative & Compliance:

  • Prepare and submit prequalification packages, proposal bonds, and forms as required
  • Ensure proposal records are saved and easily accessible for audit and historical review
  • Support the implementation of a Delegation of Authority (DOA) process to route proposals for internal approvals

Requirements:

  • Prior remote work experience and a proven ability to self-manage in a virtual setting
  • Strong proficiency in Microsoft Excel is a must (pivot tables, lookups, formatting, etc.)
  • Detail-oriented with strong organizational and follow-up skills
  • Excellent written and verbal communication skills
