
Operational Assistant

We're looking for an organized and proactive Operations Coordinator to streamline our backend operations, manage invoicing and time tracking, and bring structure to our fast-moving firm.
This role is part of our international recruitment and staffing team. As a key player, you'll take ownership of financial operations, document administration, and contract management.
**Key Responsibilities**- Administrative Support
- Manage documents, trackers, and operational workflows
- Audit Hubstaff time tracking for contractors and external staff
- Prepare client contracts using established templates
- Track key deadlines and ensure critical actions are followed up on
- Financial Operations
- Manage the invoicing process – ensuring hours are invoiced correctly and on time
- Assist in processing salary and contractor payments while keeping records organized
- Support finance-related admin: receipts, documentation, reconciliations
- Proactively spot payment delays, discrepancies, or red flags
- Research & Coordination
- Research relevant awards, events, partnerships, and apply as needed
- Support ad hoc projects, market research, and executive reporting
- Help manage calendars, reminders, and weekly execution checklists
- Bachelor's degree in Finance, Accounting, Business, or related field
- Proven experience in administrative, financial operations, or operational support roles
- Strong analytical and organizational skills
- Invoicing expertise
- Independent and resourceful with initiative
- Thrives in chaos with focused efficiency
- Detail-obsessed with follow-up and formatting accuracy
- Professional communication skills
