Key Responsibilities
- Frontline Patient Communication
The Remote Intake Specialist is responsible for managing patient intake and communication, providing exceptional customer service, and ensuring seamless coordination with healthcare professionals. This role requires a strong passion for helping people, excellent communication skills, and the ability to work effectively in a fast-paced environment.
Responsibilities- Frontline Patient Communication: Respond to patient inquiries in a friendly and professional manner, acting as a remote receptionist. Provide clear and concise information to patients, addressing their concerns and empathizing with their needs.
- Patient Information Gathering: Collect and record detailed client information, including personal details, location, and a summary of symptoms or chief complaints. Ensure accurate and confidential handling of personal health information.
- Appointment Scheduling: Assess patient needs and schedule appointments promptly, coordinating with doctors to ensure timely and effective care. Utilize scheduling software and electronic medical records to maintain accuracy and efficiency.
- Doctor Coordination: Match patients with the most suitable doctor based on symptoms, location, and timing. Communicate effectively with doctors to confirm availability and provide necessary patient details.
- Communication & Follow-Up: Send confirmation details and informative follow-ups to patients and doctors, ensuring they are well-informed and prepared for appointments. Maintain open communication channels to address any concerns or questions.
- Post-Appointment Follow-Up: Reach out to patients to confirm their issue was addressed and they are satisfied with the service. Follow up with doctors to verify the visit was completed successfully, documenting any outcomes or feedback.
- Issue Resolution & Troubleshooting: Proactively manage and resolve logistical issues that may arise during the intake or appointment process. Work quickly to find solutions, involving managers or technical support if needed, to minimize disruption to care.
- Shift Handover: Collaborate with other intake specialists during shift overlaps to ensure a smooth handoff of cases. Provide clear updates on pending appointments, patient situations, or issues to watch, ensuring seamless continuity of service.
- Experience & Background: 1+ years of experience in customer service, patient intake, or call center roles. Healthcare industry experience is beneficial but not required.
- Excellent Communication Skills: Fluent English proficiency, with a clear speaking voice and strong written communication. Active listening skills and empathy are essential for building trust with diverse patient populations.
- Customer-Centric Approach: A genuine passion for helping people and providing outstanding service. Empathy, patience, and professionalism are vital for delivering exceptional customer experiences.
- Organizational Skills: Exceptional multitasking and organizational abilities, capable of juggling multiple incoming calls, scheduling tasks, and follow-ups without dropping details.
- Tech Savvy: Comfortable using technology to facilitate workflow, with experience in electronic medical record systems, scheduling software, or CRM tools preferred.
- Problem-Solving: Critical thinking and quick decision-making skills to resolve scheduling or logistical conflicts, staying calm under pressure to ensure timely solutions.
- Attention to Detail: Meticulous in recording patient information, scheduling details, and follow-up notes correctly, committed to accuracy to avoid mistakes.
- Team Collaboration: Ability to work as part of a remote team, communicating with colleagues and doctors across time zones, reliable and punctual for shifts.
- Adaptability: Comfortable working in a fast-paced, 24/7 operational environment, willing to learn about services, coverage areas, and new tools or protocols.
