Administrative Support Specialist

The ideal candidate will provide expert administrative support to clients and team members, ensuring seamless communication and efficient operations.

Key Responsibilities:
  • Transcription: The candidate will summarize key points discussed in live or recorded calls.
  • Call Preparation: Daily call lists, meeting agendas, and materials will be prepared as needed, ensuring participants have necessary information.
  • Schedule Coordination: Meetings with clients and team members will be scheduled, coordinating times that accommodate all parties and managing adjustments or cancellations.
  • Manage Reports: Reports on key metrics and performance indicators will be prepared within specified deadlines.
  • Virtual File Management: Virtual files will be updated and maintained to ensure organized and accessible information.
  • Administrative Tasks: Email correspondence, calendar appointments, and other administrative activities will be overseen efficiently.
Requirements:
  • Ability to work independently and solve problems proactively.
  • A team player mindset, positive attitude, and strong work ethic are essential.
  • Strong organizational and time management skills are required.
  • Knowledge of digital tools and software such as Google Workspace and Zoom is preferred.
