Job Title: Compliance Specialist

This role is responsible for ensuring all human resources operations comply with internal standards and government labor regulations.

Key Responsibilities:
  • Maintain and regularly audit HR information system records to ensure accuracy and data integrity.
  • Evaluate compliance with data privacy laws and internal confidentiality protocols.
  • Monitor and process all HR-related compliance with regulatory bodies, including Department of Labor and Employment (DOLE), National Labor Relations Commission (NLRC), and Local Government Units (LGUs).
  • Prepare and submit required government reports, certificates, and audit documentation in a timely manner.
  • Verify completion of pre-employment documents before onboarding employees.
  • Coordinate pre-employment medical exam endorsements and track clearance for onboarding approval.
  • Draft and process personnel action forms for employee movements, including promotions, lateral transfers, regularization, termination, and schedule changes.
  • Prepare official movement letters and update the HR information system accordingly.
  • Track evaluation schedules for probationary, project-based, contractual, and interim employees.
  • Ensure timely dissemination of evaluation forms and collection of results for appropriate follow-through actions.
  • Facilitate routing of employee clearances across departments.
  • Prepare certificates of employment, quitclaims, and waivers while ensuring timely and compliant processing.
  • Process employee document requests within committed turnaround times.
  • Act as the primary HR compliance liaison, ensuring alignment and timely communication across departments on all employee-related matters.
  • Develop and maintain a master compliance tracker/calendar for contract expirations, evaluation due dates, audit schedules, and government deadlines.
  • Support internal and external audit preparations by ensuring complete and retrievable HR documentation.
  • Compose and update HR policies, templates, and standard operating procedures related to employee documentation and compliance workflows.
  • Perform other HR tasks as needed.
