
Executive Support Specialist

We are seeking a highly skilled support specialist to provide top-tier services in a fast-paced startup environment. This role demands exceptional organizational skills, discretion, attention to detail, and the ability to manage multiple priorities.
The ideal candidate is proactive, resourceful, and adept at navigating both strategic and day-to-day administrative needs.
Job Responsibilities- Provide high-level administrative support, including:
- Managing complex calendars
- Booking travel arrangements and restaurant reservations
- Coordinating events and team processes
- Processing expenses in a timely manner
- Drafting and managing correspondence
- Providing regular updates on in-flight projects
- Develop a strong understanding of our client's operations and reflect its professionalism and charisma in written communications, especially with external stakeholders
- Plan and coordinate meetings, including preparing agendas, managing logistics, and ensuring timely follow-up
- Handle confidential information with utmost professionalism and discretion
- Manage special projects and initiatives as assigned by executives
- Liaise with internal teams to ensure seamless communication and coordination
- Bachelor's degree in Business Administration, Communications, or a related field preferred
- 5+ years of experience as an Executive Assistant
- Proficiency in Microsoft Office, Google Workspace, CRM tools, Excel, and project management software
- Excellent written and verbal communication skills
- Ability to anticipate needs, exercise sound judgment, and take initiative
- High level of professionalism, integrity, and discretion in handling sensitive information
- Strong problem-solving skills and adaptability in a dynamic environment
- Proven ability to manage multiple priorities and deadlines with accuracy and efficiency
- Experience working with US-based clients/companies or in a startup environment is a plus
