Strategic Support Specialist

This role is designed to support the executive team in their mission to redefine the future of work for companies worldwide. As a Strategic Support Specialist, you will play a key part in building world-class teams and placing operations on autopilot.

Job Description
  • Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations specific to construction projects.
  • Handle confidential information with discretion, ensuring compliance with industry regulations.
  • Assist in organizing and maintaining project documentation, contracts, and permits.
  • Coordinate communication between executives, clients, subcontractors, and on-site teams.
  • Monitor project timelines and deliverables, providing updates to executives as needed.
  • Conduct research related to construction materials, vendors, and industry best practices.
  • Manage expense reports and assist in budget tracking for construction projects.
  • Organize and maintain the executive's filing system, both electronic and physical.
  • Perform general administrative tasks to support the executive team.
Required Skills and Qualifications
  • Minimum of 3 years of experience as an Executive Assistant to C-levels (CEO, COO etc)
  • Bachelor's degree in Business Administration or related field preferred.
  • At least 3 years of experience as an executive assistant or in a similar administrative role.
  • Familiarity with the construction industry and its operations is highly desirable.
  • Strong organizational and time-management skills.
  • Excellent English communication skills: Reading: High proficiency for reviewing detailed documents, Writing: High proficiency for drafting professional correspondence, Speaking: Clear and professional communication with clients and team members.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
  • Ability to work independently and handle multiple tasks with a high degree of accuracy.
  • High attention to detail and problem-solving skills.
  • Tech-savvy with knowledge of cloud-based systems and virtual communication tools.
