Job Description

Seeking an accomplished and tech-savvy Professional Assistant to provide strategic support to a high-level executive team. The ideal candidate has extensive experience in executive support, excels in fast-paced environments, and leverages advanced technical skills to streamline tasks and improve efficiency.

Key Responsibilities:
  • Manage complex calendars, including scheduling meetings across time zones, prioritizing engagements, and making adjustments as necessary.
  • Coordinate travel arrangements, prepare itineraries, and handle logistics to ensure smooth travel experiences.
  • Act as a liaison between executives and other departments, clients, and external partners.
  • Prepare, review, and format documents, presentations, and reports with a high degree of professionalism and accuracy.
  • Assist with email management, ensuring priority messages are flagged and responses are timely.
  • Oversee and track project timelines, ensuring milestones are met and deliverables are completed on schedule.
  • Manage and prioritize multiple tasks and responsibilities while maintaining attention to detail.
  • Utilize advanced software skills (e.g., Microsoft Office Suite, Google Workspace, project management tools) to optimize workflows and assist in automating repetitive tasks.
  • Leverage technology to improve efficiency, including using scheduling tools, CRM systems, and data management platforms.
  • Handle expense reporting, billing, and reimbursements.
  • Conduct research and compile information for decision-making purposes as requested by executives.
Required Skills & Qualifications
  • 5+ years of experience as an Executive Assistant, with a track record of supporting C-level executives.
  • Demonstrated expertise in managing complex schedules and high-level projects.
  • High proficiency with office productivity software, communication tools, and scheduling platforms.
  • Exceptional organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills, with an ability to convey information clearly.
  • Fully fluent in English.
  • Skilled in the use of apps and technology.
  • Ability to commit long-term and full-time.
  • Preference for candidates with experience in a technology-driven environment or familiarity with automation tools.
  • Impeccable interpersonal and communication skills, including the ability to present information in a confident, clear, and concise manner over different media.
  • Building relationships is one of your core competencies.
  • Agile and able to manage duties being assigned with a high degree of prioritization.
  • Proven ability to take initiative, anticipate and solve problems, and make decisions with minimal supervision.
