
Administrative Support Specialist

We are seeking an organized and detail-oriented Administrative Support Specialist to manage front-office communications, bookkeeping tasks, and project coordination duties.
- Handle phone calls, enter work orders and invoices, assist with permit and licensing research, and provide general administrative support.
- Answer incoming phone calls and direct them appropriately or take messages
- Enter work orders into the system and update job statuses as needed
- Create and process invoices accurately and on time
- Assist with accounts payable and receivable entries
- Maintain and organize digital and paper records for jobs, invoices, and documentation
- Provide administrative support to management and field staff
- Proven experience in an administrative or bookkeeping role
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
- Excellent phone etiquette and communication skills
- Strong organizational and multitasking abilities
This is a remote work opportunity that requires strong multitasking skills, familiarity with bookkeeping software (QuickBooks), and excellent phone etiquette and communication skills. The ideal candidate will have experience in an administrative or bookkeeping role and be proficient in QuickBooks and Microsoft Office.
