
Senior Administrative Coordinator

The role of an Executive Assistant is to support the leadership team in ensuring seamless day-to-day operations. This includes managing schedules, coordinating communications, and overseeing key administrative functions.
Responsibilities- Manage executive calendars, scheduling meetings, rescheduling, and prioritizing appointments.
- Prepare meeting materials, including agendas, presentations, and reports.
- Conduct outreach and follow-ups with clients, partners, and collaborators.
- Facilitate communication between executives and internal teams to ensure alignment and information flow.
- Support executives in managing special projects, initiatives, and operational priorities.
- Organize travel arrangements, flights, accommodations, and itineraries.
- Prepare expense reports and assist with budget tracking as needed.
- Maintain confidentiality when handling sensitive business and client information.
- Perform research, compile data, and provide insights to support decision-making.
- Handle ad hoc administrative and operational tasks to support business goals.
- Proven experience as an Executive Assistant or Administrative Assistant; prior experience in marketing, e-commerce, or agency environments is a plus.
- Technical skills include proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management or collaboration tools such as Asana, Trello, Slack, Google Workspace.
- Excellent written and verbal communication skills in English, with the ability to draft professional correspondence and represent executives effectively.
- Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
- High level of accuracy and thoroughness in handling tasks and documents.
- Professionalism, integrity, and ability to maintain strict confidentiality.
