Property Management Assistant RoleWe are seeking a highly organized and skilled Property Management Assistant to join our team. As a key member of our property management operations, you will play a vital role in ensuring the smooth day-to-day functioning of our properties.
Job Responsibilities- Communicate with residents regarding payment collections and fees through professional phone calls.
- Send bulk email notifications to residents about payment updates and reminders.
- Maintain accurate spreadsheets to track payment status and collection activities across multiple properties.
- Schedule inspections with certified service providers for maintenance tasks like boilers and elevators.
- Coordinate with vendors to ensure timely completion of projects and verify their certifications.
- Oversee multiple ongoing projects simultaneously, prioritizing deadlines and meeting expectations.
- Provide administrative support to the property manager as needed, ensuring seamless task execution.
- Compile detailed reports on completed tasks and ongoing projects for regular review sessions.
- 2-3 years of experience in administration, preferably in real estate, property management, or customer-facing roles.
- Excellent communication skills, particularly for handling payment-related conversations.
- Proficiency in spreadsheet software and email management tools.
- Able to manage multiple projects concurrently, maintaining organization and attention to detail.
- Experience working with vendors and scheduling coordination.
- Familiarity with VoIP tools like Zoom Phone, RingCentral, or Google Voice.
- Self-motivated and capable of meeting deadlines independently.
- Effective communication with residents, vendors, and team members is essential.
