Real Estate Operations Assistant

This is an excellent opportunity to join a dynamic real estate team as a highly skilled and detail-oriented administrative assistant.

Key Responsibilities:
  • Agent Support & Concierge Services:
    • Provide exceptional day-to-day agent support, responding promptly to requests and maintaining accurate checklists for new hires.
    • Order, schedule, and coordinate the installation/removal of real estate signs in a timely manner.
  • Marketing & Design:
    • Design and update marketing materials (flyers, just listed/just sold posts, welcome posts, market updates) using Canva, adhering to the company's brand guidelines.
    • Update agent profiles, headshots, and bios on websites, ensuring accuracy and consistency.
    • Coordinate monthly marketing pieces and assist with digital/social media campaigns to enhance the team's online presence.
    • Support agents with custom listing/buyer template updates and requests, providing seamless assistance.
  • Real Estate Operations:
    • Access MLS to efficiently pull photos and property data, supporting the team's sales efforts.
    • Conduct thorough research for the Commercial Team, compiling property data from various sources, including Crexi.
    • Monitor listings and leads on a set schedule, forwarding leads to the appropriate contacts to ensure prompt follow-up.
    • Maintain comprehensive organizational checklists, including onboarding, terminations, and other essential processes.
    • Update and organize SOPs and documentation to streamline operations and improve efficiency.
  • General Administrative Support:
    • Assist with scheduling, task tracking, and workflow management to maintain a smooth work environment.
    • Communicate proactively with leadership, confirming details and ensuring seamless collaboration.
    • Support email communication, lead assignment, and follow-up as directed, providing top-notch support to the team.
    Qualifications:
    • Prior experience as an administrative assistant in real estate is highly valued.
    • Familiarity with real estate technology platforms and MLS access is essential for this role.
    • Strong skills in Canva are required, with graphic design/digital/social media experience being a plus.
    • The ideal candidate will be highly organized, detail-oriented, and reliable, with excellent written and verbal English communication skills.
    • Tech-savviness, including comfort with CRM, digital marketing tools, and AI-assisted platforms, is necessary for success in this position.
    • The ability to work independently while keeping leadership updated is crucial for this role.
