Job Overview

The Accounts Administrator plays a crucial role in facilitating smooth daily operations, client interactions, document management, and communication with regulatory bodies. This position requires exceptional organisational skills, attention to detail, and effective communication abilities.

Main Responsibilities:
  • Sending out completed tax documents and other forms for electronic signature (using Adobe Sign).
  • Storing signed documents in the relevant client folder (OneDrive).
  • Drafting standard accountant correspondence and letters for client communication.
  • Managing client email inquiries, taking messages, and redirecting queries to the appropriate staff.
  • Assisting with distributing group communications and newsletters.
Financial Administration:
  • Generating and processing invoices in Xero accounting software.
  • Managing debt collection activities via email and following up with clients as required.
  • Monitoring and updating client details in XPM (WorkflowMax) and the Tax Agent Portal.
Compliance & Regulatory Support:
  • Preparing and sending ASIC company review correspondence using NowInfinity software.
  • Managing incoming ATO correspondence within the Tax Agent Portal, including Notices of Assessment, PAYG instalments, and other official communications.
  • Responding to ATO phone calls, including arranging payment plans, submitting interest remission requests, and handling client-related inquiries.
System & Data Management:
  • Maintaining and updating client CRM records in ActiveCampaign.
  • Ensuring accurate storage and retrieval of client records across all systems.
  • Supporting the implementation and use of cloud-based software to improve operational efficiency.
Requirements:
  • A minimum of 2 years' experience in an administrative role, preferably within accounting, financial services, or professional services.
  • Strong knowledge and experience in at least one accounting software, ideally Xero and WorkflowMax/XPM.
  • Experience using NowInfinity, ActiveCampaign, and Adobe Sign (preferred but not mandatory).
  • Proficiency in Google Workspace (Drive, Docs, Sheets) and Microsoft Office Suite.
  • Previous experience working within a remote or hybrid team environment.
  • A demonstrated ability to learn new systems, processes, and business terminology quickly.
  • Exceptional organisational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills with high attention to detail.
