We are seeking a skilled Remote Intake Coordinator to join our team. In this role, you will be responsible for managing patient intake calls in a friendly and professional manner, providing a warm welcome and reassuring patients in urgent or stressful situations.
- Patient Communication: Answer and manage intake phone calls from patients, acting as a remote receptionist. Collect initial information with empathy and efficiency, and provide clear communication about appointment details and procedures.
- Patient Information Gathering: Obtain and record detailed client information, including personal details, location, and summary of symptoms or chief complaints. Maintain confidentiality and sensitivity when handling personal health information.
- Appointment Scheduling: Assess the urgency of patient needs and schedule same-day or urgent appointments accordingly. Coordinate appointment times by matching patient availability with on-call doctor schedules, and input all details into the scheduling system with high accuracy.
- Doctor Coordination: Determine and assign the appropriate doctor for each case based on patient symptoms, location, and timing. Communicate promptly with doctors to confirm their availability and provide necessary patient details.
- Communication & Follow-Up: Send out confirmation details and informative follow-ups to patients and doctors, including emailing appointment confirmations, service overviews, and links for prepaid payments or telehealth sessions.
- Post-Appointment Follow-Up: Reach out to patients to confirm their issue was addressed and they are satisfied with the service, and follow up with doctors to verify the visit was completed successfully.
- Issue Resolution & Troubleshooting: Proactively manage and resolve logistical issues that may occur during the intake or appointment process, including scheduling conflicts or delays, technical difficulties, and other issues.
- Shift Handover: Collaborate closely with other intake specialists during shift overlaps to ensure a smooth handoff of any in-progress cases, and review handover notes from prior specialists at the start of your shift.
- Experience: 1+ years of experience in customer service, patient intake, or call center roles.
- Communication Skills: Excellent verbal and written communication skills, with fluency in English and ability to convey information calmly and effectively.
- Customer Service Approach: A genuine passion for helping people and providing outstanding service, with empathy, patience, and professionalism in every interaction.
- Organizational Skills: Exceptional multitasking and organizational abilities, with strong time-management and prioritization skills.
- Tech Savvy: Comfortable using technology to facilitate workflow, with experience in electronic medical record (EMR) systems, scheduling software, or CRM tools.
- Problem-Solving: Critical thinking and quick decision-making skills to effectively match doctors with patients and resolve scheduling or logistical conflicts.
