
Customer Service and Administrative Coordinator

The Customer Service and Admin role is a critical part of our organization, responsible for providing administrative support to salespersons and supervisors. This includes activities related to Maintenance Operations, Sales Support, Tender Preparation, as well as supporting customers directly for complex queries.
Responsibilities
- Converting leads into high-quality tenders
- Processing invoices for repair jobs
- Retrieving and including attachments as required by the customer
- Printing and sending invoices and attachments
Maintenance Operations Support
- Supporting technicians and supervisors with material requests
- Managing work-center data changes and maintenance plans via KPM ticket
- Performing specific administrative tasks for service supervisors
- Following up on customer queries forwarded from first level
SEB Sales Support
- Updating maintenance contracts
- Terminating maintenance contract cancellation requests
- Uploading LIFS data and updating for Conversion Opportunity
- Following up on customer queries forwarded from first level
Administrative Tasks
- Clean and correct customer, contract/order and equipment data
- Delivering requested materials with quality and correctness
- Providing feedback from salesperson and/or maintenance supervisor
- Resolving cases within 24 hours
Required Skills and Qualifications
- Advanced office tools literacy
- Contractual and financial understanding
- Basic technical understanding (an asset)
- User knowledge of SAP and/or SFDC (an asset)
- Previous working experience in relevant field (beneficial)
