Job Overview

The Operational Support Specialist plays a pivotal role in the day-to-day operations of our agency. This critical position requires exceptional organizational skills, strong attention to detail, and the ability to work proactively in a fast-paced environment.

Main Responsibilities
  • Prepare weekly reports summarizing key performance indicators and progress for stakeholders.
  • Compile weekly time tracking and capacity reports to ensure accurate resource allocation across teams.
  • Support monthly reporting by providing timely and actionable insights to clients and leadership.
  • Conduct daily timesheet compliance checks to maintain accurate records.
  • Perform system audits to guarantee data accuracy and integrity.
  • Assist with client and employee onboarding processes to ensure seamless transitions and optimal workflow.
  • Track and update team leave and availability to maintain efficient workforce management.
  • Maintain organized internal files, folders, and creative assets to facilitate smooth workflow.
  • Update and manage team templates across platforms to ensure consistency and standardization.
Required Skills
  • Strong proficiency in Google Sheets (formulas, formatting, tracking) to support data-driven decision making.
  • High attention to detail and accuracy to maintain data quality and integrity.
  • Strong organization and time management skills to prioritize tasks and meet deadlines.
  • Proactive mindset and problem-solving attitude to identify and resolve inefficiencies.
