Job Description

We are seeking a highly organized and proactive Executive Assistant to provide exceptional administrative support to businesses in Australia. The ideal candidate will act as a trusted partner to business owners and executives, streamlining operations and enabling them to focus on strategic growth.

  • Administrative Support: Manage calendars, schedule meetings, and coordinate appointments across Australian time zones.
  • Communication Management: Handle email correspondence and draft professional communications.
  • Task Coordination: Organize and prioritize tasks, track project deadlines, and follow up on action items.
  • Document Management: Prepare, edit, and organize reports and presentations with high attention to detail.
  • Travel & Event Planning: Arrange travel itineraries, accommodations, and logistics for business trips.
  • Data Entry & Record Keeping: Maintain accurate records and update CRM systems.
  • Financial Support: Assist with basic bookkeeping tasks, such as expense tracking and invoice processing.
  • Research & Analysis: Conduct research on market trends and competitors to support decision-making.
  • Confidentiality: Handle sensitive information with discretion.
  • Cultural Alignment: Understand and adapt to Australian business culture.
  • AI & Technology: Proactively use AI technologies to improve efficiency and quality of work.
  • Problem-Solving: Have a proactive mindset and strong initiative to anticipate needs and resolve issues independently.
  • Communication & Interpersonal: Build rapport with diverse stakeholders.
  • Organization: Have a high level of organization and attention to detail.
  • Independence: Work independently with minimal supervision.

Required Skills and Qualifications

The ideal candidate will possess the following skills and qualifications:

  • Experience: Minimum 3-5 years of experience as an Executive Assistant or similar role.
  • Education: Bachelor's degree in Business Administration or a related field.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Familiarity with project management tools and CRM platforms.
  • Exceptional written and verbal communication skills in English.
  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities efficiently.
  • Understanding of Australian business practices and ability to adapt to a professional environment.
  • Comfortable with remote work tools and able to troubleshoot basic technical issues.
  • Proactive use of AI technologies to improve efficiency and quality of work.
