Job Description

Under the direct supervision of a senior operations specialist, this role is responsible for tracking and providing support for planned service agreement renewals. The individual will participate in contract scheduling, revenue forecasting, and accounts receivable activities such as collection and new customer authorizations. They will also provide backup customer call handling, administrative, and day-to-day support in service operational areas.

Responsibilities

  • Responsible for scheduling, tracking, and monitoring touch point plans and contract renewal life cycles with account owners.

  • Prepares regular reporting on unaligned costs, including labor hours, material purchases, expenses, and other service-related transactions.

  • Prepares service billings in a special invoice format as defined by individual customer account requirements. Reconciles accounts payable exceptions as necessary.

  • Updates and retains customer account information related to special billing conditions, invoice approval contacts, billing addresses, and special billing rates.

  • Researches, resolves, or escalates accounts receivable disputes/issues. Interacts with customers to resolve receivable issues. Processes invoice credits and re-bills as necessary.

  • Assists senior operations specialists in administration of parts ordering and availability management.

  • Assists senior operations specialists in resolving warranty/SD warranty issues.

Required Skills and Qualifications

  • Graduate of any business-related course, preferably Accountancy or its equivalent.

  • At least five years' industry experience, preferably within a service or technical work environment.

  • Demonstrated ability to work independently and possess solid organizational and attention to detail skills.

  • Strong interpersonal skills to effectively communicate with people.
