Job Title:

A Patient Experience Coordinator is a vital role in our organization, ensuring that patients receive the highest level of care and service.

About the Role:

This position involves managing high volumes of patient communications, including phone calls and emails. You will be responsible for coordinating appointments, responding to inquiries, and making bookings across multiple practitioners and time zones. Your goal will be to ensure timely and accurate responses to patients, while also maintaining accurate patient information in our systems.

Key Responsibilities:
  • Patient Communication: Deliver exceptional patient experiences through efficient, friendly, and professional communication via phone and email.
  • Appointment Coordination: Manage high volumes of inbound calls, coordinate appointments, and respond to first-line inquiries with warmth, clarity, and accuracy.
  • Phone Call Management: Answer and manage a high volume of incoming phone calls, ensuring patients are supported with timely and accurate responses.
  • Email Response: Respond to inbound email inquiries, including appointment requests, general questions, and patient follow-ups.
  • Booking Management: Make, modify, and confirm patient bookings across multiple practitioners and time zones where applicable.
  • Communication Monitoring: Monitor inboxes and communication channels to ensure timely responses and prioritisation of urgent queries.
  • Registration Verification: Confirm patient registration details, ensuring all required fields are complete and accurate.
  • Patient Information Update: Update and maintain patient information in the patient management system.
  • Administrative Support: Coordinate follow-up appointments, recall systems, and administrative workflows that support clinical staff.
  • Documentation Compliance: Ensure documentation and correspondence are accurate and privacy-compliant.
  • Team Collaboration: Liaise with internal teams to flag scheduling issues, patient concerns, or process improvements.
