Job Title: Executive Support Specialist

The role of the Executive Support Specialist involves serving as a central point of contact for company executives. This position requires coordinating daily schedules, managing information flow, and overseeing administrative tasks.

Key Responsibilities:
  • Executive Support & Coordination: Serve as the primary point of contact among executives, employees, clients, and external partners.
  • Calendar & Meeting Management: Manage executives' calendars, schedule meetings, and take minutes during discussions.
  • Administrative & Travel Coordination: Oversee travel arrangements, manage office supply inventory, and perform other clerical tasks.
  • Financial Tracking & Reporting: Track expenses and prepare weekly, monthly, or quarterly reports.
  • Communication & Correspondence: Format internal and external communications, screen phone calls, and distribute correspondence.
  • Conduct research and create detailed outputs.
  • Organize and maintain the office filing system.
Qualifications:
  • High school graduate or higher preferred.
  • Bookkeeping and accounting experience beneficial.
  • Proficient in Microsoft Office and Google Workspace.
  • Familiarity with various work gadgets and applications.
  • Resourceful problem-solving skills.
  • Ability to handle sensitive information with discretion.
  • Excellent organizational skills.
  • Fluent English language skills.
  • Good time-management skills and ability to meet deadlines.
  • Willingness to undergo training and adapt to new processes.
