Job Title: Operations Lead/Intake Specialist

This role is a critical component of our home care coordination process, acting as the operational nerve center between clients and caregivers.

  • Main Responsibilities:
    • Manage real-time scheduling to optimize caregiver-client matches based on skill, location, and availability.
    • Monitor incoming care requests and coordinate responses within agreed-upon service level agreements.
    • Maintain accurate scheduling software records for clients and caregivers.
    • Proactively communicate with caregivers and clients regarding schedule confirmations, changes, and coverage gaps.
    • Cross-functionally collaborate with care managers and back-office staff to ensure incident reporting and follow-ups are handled efficiently.
    • Identify and address scheduling inconsistencies or no-shows, making adjustments as necessary.
    • Generate reports on staffing coverage, fulfillment rates, and productivity metrics.
    • Support operational workflows such as timesheet collection, payroll preparation, and follow-ups when feasible.

Immediate Tasks (Week 1):

  1. Complete training on internal scheduling tools and standard operating procedures.
  2. Shadow outgoing schedulers or care managers to understand our company's processes.
  3. Observe live scheduling adjustments and client/caregiver communication patterns.
  4. Draft and confirm schedules under supervision.
  5. Review and understand client preference profiles and recurring care needs.
  6. Align with the operational lead on additional duties, such as RCM-lite tasks and timesheet checks.
Requirements:

To be successful in this role, you will need:

  • At least 5 years of experience in home health/homecare scheduling or patient coordination.
  • Proficiency in scheduling platforms like ClearCare, AlayaCare, AxisCare, or equivalent systems.
  • Excellent written and spoken English language skills.
  • Strong organizational and time management abilities, even in shifting priorities.
  • HIPAA-compliant behavior and familiarity with U.S. healthcare data protocols.
  • Experience working PST hours.
