Job Title: Virtual Support Specialist

The ideal candidate will be a highly organized, detail-oriented virtual support specialist to provide administrative and client communication support within a Criminal Defense and Litigation practice.

This role requires professionalism, strong communication skills, and the ability to serve as a reliable bridge between the attorney and clients.

Key Responsibilities:

  • Communicate with clients before court appearances to gather updates and provide reminders.
  • Act as the main point of contact between the attorney and clients, ensuring clear and timely updates.
  • Draft and distribute client letters; maintain regular client touchpoints.
  • Explain case processes and legal updates in easy-to-understand terms.
  • Manage appointments, calendars, and court dates to ensure deadlines are met.
  • Update and manage client records using Practice Panther.
  • Follow up on billing, retainer fees, and accounts receivable with clients.
  • Support Spanish-speaking clients as needed.

Requirements:

  • Prior experience as a legal assistant, paralegal, or administrative professional in a law firm is preferred.
  • Strong verbal and written English communication skills.
  • Proficiency with phone systems.
  • Ability to manage calendars, court dates, and appointments with accuracy.
  • Comfortable using client management systems.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Professional, empathetic, and able to handle sensitive client interactions.
  • Familiarity with billing follow-ups and collections is a plus.

The ideal candidate will be proactive, self-motivated, and comfortable handling confidential legal matters. The ability to work independently and remotely is required.
