This role requires a highly organized and proactive professional to support our founder in managing daily operations, administrative responsibilities, and business development.

The ideal candidate will have 4+ years of experience in executive assistance, communications, or marketing, with a proven ability to communicate effectively and build relationships.

A strong organizational and time-management skillset is essential for success in this position. The candidate should be able to work flexible hours when needed and have excellent problem-solving skills.

Key responsibilities include:

  • Administrative & Operational Support:
    • Manage the founder's inbox, categorizing, routing, and escalating issues as necessary
    • Optimize calendar management, including scheduling meetings, resolving conflicts, and sending invitations
    • Maintain and update databases (vendor lists, etc.)
    • Oversee computer and equipment maintenance, management, and procurement
  • Client & Business Development Support:
    • Triage and respond to inbound inquiries from potential clients
    • Maintain the CRM and ensure accurate daily updates
    • Assist in organizing and participating in business development activities
  • Communications & Marketing Support:
    • Support updating website and social content created by the team
    • Manage online entries for awards
    • Research contacts for journalists, events, and other outlets in the best interests of our organization
  • HR & Finance Support:
    • Maintain the payroll system, including onboarding/offboarding employees, updating salaries, and managing group insurance plans
    • Draft contracts for employees and freelancers
    • Manage sick leave protocols and communications
