
Calendar Coordinator

We are seeking a detail-oriented and organized Calendar Coordinator to join our team. As a key member of our operations group, you will play a vital role in ensuring seamless scheduling across multiple departments.
- Cultivate and maintain calendars for various team members or departments to guarantee efficient time management.
- Expertly schedule client meetings, internal check-ins, consultations, and follow-ups while considering diverse priorities.
- Avoid last-minute scheduling conflicts by proactively communicating with clients and internal staff through phone, email, or instant messaging platforms.
- Stay on top of calendar updates, rescheduling appointments as needed, and promptly notify clients and team members.
- Collaborate closely with operations, HR, and leadership teams to adapt to shifting priorities and optimize scheduling workflows.
- Foster effective communication by sending timely appointment reminders and confirmations.
Requirements:
- Prior experience in administrative roles, preferably supporting U.S.-based teams.
- Demonstrate strong English communication skills—both verbal and written.
- Showcase exceptional organizational skills to manage multiple calendars and prioritize tasks effectively.
- Maintain attention to detail and exhibit independence in your work.
- Prove proficiency in scheduling tools (e.g., Google Calendar, Microsoft Outlook, Zoom, Slack) and adapt quickly to new systems.
- Display flexibility regarding time zones and work within U.S. business hours.
- Exhibit professionalism, discretion, and a client-focused mindset in all interactions.
