Order Operations Manager

We are seeking a skilled and experienced professional to support our retail operations. As a key member of our team, you will play a critical role in building and scaling our retail operation.

Key Responsibilities

The successful candidate will be responsible for:

  • Leading the team responsible for day-to-day execution and management of order to cash cycle - order entry, accuracy, and execution from order receipt through customer delivery all the way through invoicing and payment collection.

  • Providing customer support for pre-order activities - including systemic setup, writing customer-specific SOP's, and ensuring customer orders are ready to process.

  • Building sustainable processes and systems from scratch, focusing on efficiency and scalability as we onboard with new commercial customers and build out our customer operations team.

  • Writing and managing collection of order operations SOP's that are specific to different sales channels and customers.

  • Maintaining strong data integrity in all order operations systems associated with order entry, order fulfillment, order management, and order invoicing (QBO).

  • Leading month's end reconciliation from the Order Operations perspective and providing fully vetted reporting to accounting showing all orders for the previous month are accurately entered in all of our systems and tie out.

  • Creating workflows using connectors like Zapier, Make, N8N, Parabola, etc. to significantly cut down on the amount of repetitive, manual work that the team handles on a day-to-day basis.

Requirements

The ideal candidate will have:

  • Ability to work full-time US-based hours.

  • Expertise in automations, with experience working with Zapier, Make, N8N.

  • Excellent written and verbal communication skills in a customer-facing role.

  • Elite organizational skills and ability to pay close attention to details.

  • Extremely process-oriented with the ability to identify and define issues, create scalable processes, and implement those processes with team members both in and out of the department.

  • Order processing experience, including EDI, B2B, and manual orders, with strong ERP system experience.

  • Experience managing direct reports.

  • 2+ years of experience working in US food & beverage order operations with distributors such as UNFI & Kehe and with retailers like Target.

  • Able to thrive in a fully remote work environment under minimal supervision.

  • Extremely customer-focused with an unrelenting desire to provide world-class customer service while simultaneously keeping the company's best interest in mind.
