Key Responsibilities
Supplier Management:
Researching and identifying potential suppliers and vendors for goods and services.
Evaluating suppliers based on price, quality, reliability, and other critical factors.
Negotiating contracts, terms, and prices to secure the best deals for the company.
Maintaining and nurturing positive working relationships with vendors and suppliers.
Procurement Process:
Monitoring inventory levels and ensuring timely replenishment of stock.
Collaborating with internal departments (like production, inventory, and finance) to understand and fulfill purchasing needs.
Preparing and processing purchase orders and invoices.
Tracking the status of orders and coordinating deliveries.
Record-Keeping & Reporting:
Maintaining accurate records of all orders, receipts, and payments.
Verifying received items against purchase orders to ensure accuracy and quality.
Preparing reports on purchases, including cost analysis, to inform decision-making.
Problem Resolution:
Resolving issues with suppliers, such as delivery errors, damaged goods, or over/under-orders.
Addressing any discrepancies found in shipments or invoices.
Key Skills & Qualifications
Communication & Negotiation:
Excellent verbal and written communication skills, combined with strong negotiation abilities.
Organizational Skills:
Strong ability to manage multiple tasks, deadlines, and a large volume of information effectively.
Analytical Skills:
Ability to conduct cost analyses, compare vendor bids, and interpret market trends.
IT Proficiency:
Competence in using relevant software, especially strong Excel skills for tracking and reporting.
Market Awareness:
A keen eye for market trends and industry developments to make informed purchasing decisions.
